Crafting your press release
Structure
Your press release should have the following structure:
Headline: Write a compelling headline that summarizes your announcement, up to 60 characters is ideal to prevent cut-off.
Subheadline: Some media outlets allow you to provide a subheadline which allows you to write more context about your headline. Some may have character count limitations, but if not, it's best to keep within 160 characters.
Date and city: At the beginning of the first paragraph, write the date you want the release to be announced on and the city your business/brand is based in. For example: November 21, 2024 -- MIAMI -- [followed by Introduction]
Introduction (lead paragraph): Write one or two sentences introducing your announcement. Don't worry if it sounds repetitive from the headline and/or subheadline, but try to adapt wording or add more information so it's not a direct copy of the headline or subheadline.
Body: The body of a press release is where you provide detailed information to support the announcement made in the introduction. It can be as short or detailed as necessary, between two to five paragraphs with a word limit ranging from 400 to 500. The body can include:
Key facts: Provide important facts or data that support the announcement.
Quotes: Include quotes from yourself and key stakeholders, such as company executives, managers, affiliates, collaborators, or partners such as a rep from mymember.site. Quotes add credibility and a human touch.
Background information: Provide more context and background information about the announcement (build on the headline and introduction) and can also include more context about your business/brand (ex: year established, awards, achievements, recent or upcoming developments, is there a unique story of how your business/brand was created).

Avoid fluff and marketing speak (stick to the facts and direct points about the announcement). News agencies will definitely remove unnecessary content due to publishing guidelines.
Make sure every sentence adds value to the announcement.
Call to action (closing paragraph): If appropriate, include a call to action after the body paragraphs. This could be to visit a website, follow on social media, sign up for an event, or contact the company. This is where you will also include link(s) for what you want readers to check out.
Contact information: After the call to action (closing) paragraph, you can include, but not mandatory, your business/brand reps name, email and phone number, to provide a line of communication with audiences who would like to contact you about your announcement such as journalists, bloggers, podcasters, affiliates, or potential collaborators or partners.
Visuals: Don't put image or video files within the press release content. You can submit/upload them as attachments. Most news agencies require one image for digital releases, such as your company logo or brand photo, or a photo representing your announcement, and they will most likely say what size is required (ex: high-res minimum 2,000 pixels). If they don't have instructions, contact them and ask. An image will greatly boost reach and views of your press release.

The tracking code must start with a question mark ?
utm_source= is the name or acronym of the news agency (or whichever channel source you are publishing on). For example, if posting on social media, utm_source= could be facebook, instagram, or X. Or if linking your site in a link hub such as linktr.ee, the utm_source= is the name of the link hub.
utm_campaign= is a short label to describe what the content is about.
